Job Title: Administration Assistant (Receptionist)
Work Location: Tianjin
Position Objective:
n Perform office administration tasks, including
- Maintenance & management on various facilities
- Fixed assets management
- License documents / certificates management (filing, updating)
- Office security management (door cards, keys and security system
control…)
- Mails / fax distribution and management
- Liaison and management with external parties, like various
vendors, property management, authorities etc

n Deliver the logistics support and management, including
- Hotels booking service & program management
- Travel tickets booking process
- Cars booking & management
- Meeting rooms management
- Printings and stationery provision service
n Undertake the procurement and administrational expenses management
assignment, including
- Procurement process to meet internal needs on various services
- Various reimbursement payment and account booking process
- Regulatory reporting to various regulators
n Perform the assistant role of CAOA area and various projects,
including but not limited to
- General project management, like project planning, information
collection, communication with all counterparties concerned, documents
preparation, schedule following and cost monitoring etc.
- Coordination of New Product Committee tasks,
- Coordination of BCP related issues.
- Signatory program management
- Other transversal tasks pertinent to CAOA
Perform other ad hoc tasks/ duties of administration assigned by management.
Requirement:
- Bachelor degree or above;
- 1-2 year working experience in foreign bank is preferred, but not a must;
- Knowledge of office administration / property management / project
management is preferred;
- Good communication and time management skills;
- Work result driven and able to deliver under pressure;
- Efficient producer while details oriented;
- Quick learner & proactive team work player;
- Holder of customer service mindset;
- Fluent Mandarin speaking and Chinese writing skill is a must;
- French comprehension is of advantage;
- Fluent in both oral and written English;
- Familiar with Microsoft office tools.
